Who can Use Email Archiving?

  • Any Person, Companies, government entities, school districts and organizations who wish to archive their email data.

Any uses that are not reported?

  • This service is not intended for the purposes of archiving vast amounts of automated mails (e.g. generated by mass mailers, spam and antivirus software).
    • Note: We reserve the right to refuse service to anyone.

Where are all the email data stored?

Currently on Hetzner and Cloud Africa’s Infrastructure. Our reasons for doing so are

  • They have a solid reputation in operating and managing large scale always-on Internet service.
  • Their SLA guarantee’s a monthly Uptime of at least 99.95%
  • Their storage pricing is competitive, so we are able to pass on savings to you – the end customer.
  • They are based in South Africa.

What measures are taken to protect the security of the data?

 

We take the security of our customer’s data very seriously.

  • All archive data is encrypted using AES-128 encryption
  • All passwords are hash protected and the console is secured using HTTP/S security
  • Underlying operating systems are patched regularly
  • We employ the use of firewall and intrusion detection software
  • Our servers are scanned by MacAfee’s vulnerability services regularly for vulnerabilities.

How long do you keep archive data?

Our current policy is to keep data for a maximum of seven years. In all likelihood, by the time seven years passes by, we will likely extend this further, as the cost of storing data in the cloud comes down even further. That being said, we will never implement the retention policy without informing you first. We did already consider offering unlimited storage, but decided to rather use the money to purchase highly redundant and reliable storage from a top tier Cloud service provider rather than roll out our own infrastructure.

Do you support the import of historical data from mail server and third party archiving systems?

We currently support direct import of data from Microsoft Exchange, MBOX, EML, PST, MSG and OST formats. Since importing vast amounts of historical data can involve a significant amount of work on an ongoing basis, we charge an additional 20% on top of the monthly service charge (in perpetuity or until the contract is cancelled). If you wish to import historical data, please contact us.

Can I get access to my original data if I decide to cancel the service?

Yes, we support bulk export to .EML (RFC822) format, however, the export is subject to a modest export charge. The reason for the charge is that we have to pay Cloud to export data from their infrastructure. Furthermore, exporting large amounts of data can involve fair amount of work and may be time consuming to perform.

How do you connect with our corporate mail server over the internet?

It really depends on the specific mail server you are using. If using Office 365, you can either configure E Mail Archive’s to retrieve journal emails via IMAP from hosted Exchange, or configure hosted Exchange to forward SMTP traffic to E Mail Archive’s SMTP servers. Instructions for connecting to various mail servers are stated in the E Mail Archive’s Online Help.

Can you authenticate our users residing in Active Directory / LDAP over internet?

Yes we can. Our authentication engine is capable of authenticating users over the Internet using either NTLM v2, or LDAP protocols. Contact us should you have difficultly setting up this feature.

Is there a fixed term contract or when can I cancel the service?

There is no fixed term contract. The service may be cancelled within 30 days of notification in writing.

What security measure have been put in place to protect my data?

Archived information is encrypted using AES encryption. Communications are encrypted using the
TLS protocol. Passwords are hashed and encrypted. Authentication with Active Directory occurs using the NTLM v2 protocol.
